Step 3. Configuring Project Online (project stages)

Integration Hub will create a new Planner plan or use an existing one for the Project Online tasks which custom field Map to Plan is set to Yes. After the project and plans are synced, all the updates of tasks brought from Planner to Project Online as sub-tasks will also be synchronized. 

To configure your project for integration, we will need to add the custom fields created previously to one of your project Views and to the PDP page:

  • Planner Plan Name field. The task-level Text custom field name identifies the name of the related plan in Planner.
  • Planner Plan Id field. The task-level Text custom field name that identifies the Id of the related plan in Planner.
  • Planner Group Email field. The task-level Text custom field name identifies the email of the Planner Group that the connected plan belongs to.
  • Map To Plan field. The task-level Flag custom field name that identifies if the task should be mapped with plan in Planner. Note, that this field can also be used to temporarily pause or continue sync for a specific task. If you don't need to sync a specific task, set the field to No.

Adding custom fields to a Task View.

1. Navigate to PWA Settings → View Management 

2. Create a new Task View or edit an existing one (we will use Task Summary as example) and add the custom fields listed above to this view.

3. Now the Task view for our example project should look like this:

The task to plan matching is done by the Map to plan field.

If the Map to plan field for the task is set to Yes, this task is considered a stage and will be linked to a Planner plan.

If you want to create a new Planner plan for this stage, leave the Planner Task Plan Id or Planner Group Email fields empty. After the first successful sync, this field will be automatically populated with the Plan Id of the new plan.

If you want to link this task to an existing Planner plan, add the Planner plan ID to the Planner Task Plan Id and/or planner group e-mail to Planner Group Email fields.

Note: to find out the Plan Id, open your plan in Planner and look at the browser URL. The URL should look like 

https://tasks.office.com/[yourtenant].onmicrosoft.com/en-US/Home/Planner/#/planschedule?groupId=03595ee2-d38d-4604-ab5d-d0071d92ef55&planId=afiiVzPwpkGSBWuxeiIa4GUADkoj

The character combination after planId= represents the id of the plan currently opened in the browser.
